Lexicor is legal intake and matter-records software for law firms. It is operated by Coach OS LLC, a Florida limited liability company (document number L26000444666), Miami, Florida. This policy explains what Lexicor handles, where it is kept, how long, and how it is deleted.
Who is responsible for what
The law firm that uses Lexicor decides what information comes into it and why. For the information in a firm's matters, the firm is the controller and Coach OS LLC acts on the firm's instructions as its service provider (processor). The Data Processing Addendum sets out those terms.
What Lexicor handles
- Intake calls. When a firm connects its after-hours intake line, the line sends Lexicor the call's transcript, the caller's number, the time of the call and, where the line provides one, a link to the recording.
- Recordings, transcripts and documents that firm staff add to a matter.
- Matter records built from those calls: names, phone numbers, email addresses, the caller's account of events, parties, dates, notes, conflict-check results and status.
- Account details for the firm's workspace: the name, work email and firm name of the person who signs in, and the workspace's plan status.
Lexicor does not collect advertising identifiers and does not sell or share personal information for advertising.
Where it is kept
- On the firm's computers. Matter records, recordings and documents are stored inside the Lexicor app on the computer where they are used. They do not leave that computer unless a person exports them.
- In transit from the intake line. A call the intake line answers is held in encrypted, access-controlled storage in the United States, signed per firm, until the firm's app retrieves it, and is deleted no later than 30 days after it arrives.
- Workspace account details are held by the Coach OS account service so the firm can sign in and manage its plan.
Data is encrypted in transit (TLS). Service providers that host these systems act under contractual data-protection terms.
Retention and deletion
Matter records stay on the firm's computers for as long as the firm keeps them. The firm can export every matter at any time and can delete the app's data by removing the app and its data folder. Intake copies held in transit are deleted within 30 days. To delete a workspace account, email privacy@coachingos.org; verified requests are completed within 30 days, subject to any legal hold.
Sharing
Coach OS LLC shares information only with the infrastructure providers needed to run the service, as the firm directs, or where the law requires it.
Callers
People who call a firm's intake line are the firm's prospective clients. Questions about how a firm uses their information should go to that firm.
Changes
Material changes will be posted here with a new date and communicated to workspace owners.
